This Privacy Policy explains how Clipform ("Clipform," "we," "us," or "our") collects, uses, discloses, and retains information when you use the Clipform website, applications, APIs, and services at clipform.com (collectively, the "Service").

1. How Clipform handles information

Clipform is a collaborative sign-up sheet platform. The information involved depends on how you use it:

  • When you create an account or visit the Service, Clipform collects and processes information to provide, secure, analyze, market, and improve the Service as described in this policy.
  • When you sign up on someone else's clipform, the organizer chooses what information to request, who can see it, and how the organizer uses it outside the Service. Clipform processes that information to provide the requested sign-up, sharing, communication, security, and analytics features.
  • When you are an organizer, you are responsible for having appropriate authority to collect, use, export, and contact people using the information you request through your clipforms.

2. Information we collect

Information you provide

  • Account and profile information: information you provide to create, maintain, secure, and personalize an account.
  • Content and submission information: content you create, organize, share, or submit through the Service. Organizers determine what information a clipform requests and how that information is displayed or shared through the available settings.
  • Authentication and connected-feature information: information associated with account security, permissions, integrations, exports, sharing, and other features you choose to configure or authorize.
  • Communications: information you provide when contacting Clipform, reporting a concern, requesting support, submitting feedback, or selecting communication preferences.

Information collected automatically

  • Usage and technical information: information about how you interact with the Service and the devices, browsers, networks, and general locations used to access it.
  • Operational and security information: records used to operate the Service, diagnose problems, enforce permissions and plan restrictions, deliver communications, detect misuse, and protect Clipform and its users.
  • Advertising and measurement information: information used to promote Clipform, understand audiences, measure campaigns and conversions, and support advertising or monetization. Advertising providers may process information under their own terms and privacy policies.
  • Cookies and similar technologies: browser-based technologies may be used to operate and secure the Service, remember preferences, understand usage, and support advertising and measurement.

Clipform may use advertising, analytics, and marketing technologies to understand how the Service is used, reach potential users, and support the continued operation and development of the business. Revenue and insights from these technologies can help Clipform provide free and affordable service options to the community. Users who prefer to limit these technologies may use browser privacy settings, privacy-focused browsers, content blockers, or similar tools. These third-party controls may not prevent every form of data collection. We appreciate users who choose to allow these technologies because doing so helps support Clipform, while recognizing that each user may select the privacy tools that best fit their preferences.

Information from features and integrations you authorize

When you use an integration, export, sharing feature, or connected service, Clipform processes and discloses the information reasonably necessary to carry out your request. Information received by another person or service may be processed under that recipient's own terms and privacy practices. Clipform may record activity involving connected features for operational, support, and security purposes.

3. How we use information

We use information to:

  • Provide and operate the Service: create and display clipforms, process sign-ups, manage waitlists, sharing and access, send notifications and reminders, support exports and integrations, and provide customer support.
  • Maintain safety and integrity: authenticate users, prevent abuse and spam, enforce plan and rate limits, investigate reports, diagnose incidents, and protect Clipform and its users.
  • Communicate: send verification, password-reset, invitation, confirmation, reminder, service, support, and product messages. Non-essential email categories include an unsubscribe method.
  • Advertise, measure, and monetize: promote Clipform, measure advertising campaigns and conversions, create or use advertising audiences, personalize advertising where permitted, and display advertising that may generate revenue.
  • Understand and improve the Service: analyze usage, measure feature adoption and plan interest, debug problems, and develop or improve products and features.
  • Create aggregate or de-identified information: analyze, secure, and improve the Service using information that is not reasonably linkable to a person. We do not attempt to re-identify information that we maintain as de-identified.
  • Comply with law and enforce agreements: meet legal obligations, respond to lawful requests, and enforce the Terms of Use and other agreements.

Clipform does not use private clipform content or sign-up submissions to train general-purpose artificial intelligence models. If you direct information to a connected third-party service, that provider may process it under its own terms and privacy policy.

4. How information is disclosed

We disclose information in the following circumstances:

  • As directed by users and Service settings. Information may be made available to organizers, authorized collaborators, participants, invited recipients, or the public depending on the feature and settings being used. Organizers control the available visibility and access settings for the clipforms they manage.
  • Through integrations and sharing features. When you use an integration, export, connection, or sharing feature, information is disclosed as needed to fulfill your request and provide the feature.
  • To advertising and measurement partners. Advertising providers may receive information used to measure, target, personalize, deliver, and monetize advertising.
  • To vendors working for Clipform. We use categories of vendors such as infrastructure, communications, analytics, security, payment, and support providers. They may process information as needed to provide their contracted services. Additional information about relevant vendor categories may be requested at [email protected].
  • During a business transaction. Information may be disclosed or transferred in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of the Service or its assets.
  • For legal and safety reasons. We may disclose information when reasonably necessary to comply with law, regulation, legal process, or governmental request; enforce agreements; investigate fraud or abuse; or protect the rights, property, and safety of Clipform, our users, or others.
  • With permission or at your direction. We may disclose information in other ways when you authorize or direct us to do so.

Clipform does not sell personal information in exchange for money. However, some laws may define disclosures to advertising and measurement partners as "selling," "sharing," or processing for "targeted advertising," even when no money is exchanged.

5. Data retention

We retain information for as long as reasonably necessary for the purposes described in this policy, including providing and improving the Service, maintaining business and financial records, supporting users, securing the Service, preventing and investigating fraud or abuse, complying with legal obligations, resolving disputes, and enforcing agreements. Retention varies based on the type, sensitivity, context, and purpose of the information.

  • Account information is generally retained while the account remains active.
  • Content and submissions are generally retained while the relevant account or content remains active. Deleted information may be retained when reasonably necessary for recovery, security, abuse prevention, dispute resolution, legal compliance, or other legitimate business purposes.
  • Certain operational, communications, security, transaction, suppression, and compliance records may remain after account or content deletion when reasonably necessary for the purposes described above.
  • Aggregate or de-identified information may be retained for longer when it is not reasonably linkable to a person.

6. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, use, alteration, or disclosure. The safeguards used depend on the nature and sensitivity of the information and the features involved. No transmission or storage system is completely secure, and we cannot guarantee absolute security.

7. Your choices

  • Account information: view and update available account information in Settings.
  • Email: change available communication preferences in Settings or use the unsubscribe link in a non-transactional email. Certain account, security, transactional, and service messages cannot be disabled while you use the relevant feature or maintain an account.
  • Content and submissions: use the controls made available through the Service to manage eligible content and submissions.
  • Integrations and sharing: manage or revoke eligible connections and shared access through the controls made available by the Service.
  • Advertising: browser privacy controls and content blockers may limit some advertising technologies. You may also use controls made available by the relevant advertising providers and supported industry opt-out mechanisms. Where applicable law or an advertising-platform rule requires consent, an opt-out, vendor identification, or recognition of a supported browser privacy signal, Clipform will provide or honor the required notice or mechanism.
  • Privacy requests: contact [email protected] to request access, correction, deletion, or a portable copy of applicable personal information. We may need to verify your identity, and legal, security, fraud-prevention, recordkeeping, and other exceptions may apply.

Blocking essential cookies may prevent authentication and other signed-in features from working.

8. Regional privacy rights

Depending on where you live and whether an applicable law covers Clipform, you may have rights concerning your personal information. These may include rights to access, correct, delete, or obtain a portable copy of information; opt out of sale, sharing, or targeted advertising; limit certain uses of sensitive information; withdraw consent; object to certain processing; appeal a denied request; and receive equal service when exercising privacy rights.

Submit a request to [email protected]. We may verify the request and will respond as required by applicable law. Clipform does not discriminate against a person for exercising an applicable privacy right.

9. Children

The Service is intended for users age 13 and older and is not directed to children under 13. Parents, guardians, teachers, coaches, and other authorized organizers may create clipforms involving minors or provide information about minors when they have appropriate authority to do so. A child under 13 should not independently create an account or directly provide personal information through the Service.

If you believe information was collected directly from a child under 13, contact [email protected] so we can investigate and take appropriate action, including deletion where required. Additional eligibility and organizer responsibilities are addressed in the Terms of Use.

10. International data processing

Clipform is operated from the United States, and information is primarily stored and processed in the United States. Advertising, communications, integrations, support, security, and other vendors may process information in the United States or other countries. Those countries may have privacy laws that differ from the laws where you live.

11. Changes to this policy

We may update this policy from time to time. We will post the revised policy with an updated date. When reasonably appropriate, we may also provide notice through the Service or by email before a material change takes effect.
